BAVARIA MOBILITY SRL is a company from the Automobile Bavaria Group that deals with car rental for short or long periods.

2.    Personal data we process

BAVARIA MOBILITY SRL is a personal data operator. We collect the following types of personal data from you:

• Phone
• E-mail
• Address
• Senior driving license
• Copy of driving license
• Copy of identity card
• Coupon code
• Car type
• choice
• User ID
• Rent period
• Message
• Navigation history

3.    Why we need them

We need your personal data for the following processing:

Based on the legal interest of BAVARIA MOBILITY SRL to respond to your messages from the contact form:

• Name and surname – we need this data to be able to personalize your address.
• Email – the email address we use to reply to your message
• Phone – we use your phone number to answer your message faster
• Message – booking details

On the legal basis of the legitimate interest of BAVARIA MOBILITY SRL to respond to your requests for offers for the sale of used cars:

• Name and surname – we need this data to be able to personalize your address.
• Email – the email address we use to respond to your request
• Phone – we use the phone number to answer your request faster
• Make and model – to understand which car you are interested in
• Additional information – booking details

Under the legal basis of the execution of the contractual clauses related to the management of your user account:

• Name and surname – we use this information to identify you.
• Email – the email address is used to login.
• Password – we will securely store a forgotten version of your password to allow you secure access to your account.
• User ID – a unique user identifier will be automatically generated that will be used for the electronic management of your account in BAVARIA MOBILITY systems.

Under the legal basis of the execution of the contractual clauses related to the reservation and payment of the reservation related to the rental of a car:

• Name and surname – we use this information to identify you and to draw up the lease.
• Email – we use this information to contact you.
• Phone – we use this information to contact you.
• Address – we use this information to deliver your car to the address, if you choose this, and to generate your invoice, if it is for an individual.
• Senior driving license – we use this information to calculate the rental offer.
• Coupon code – we use this information to calculate the rental offer.
• Car type – we use this information to calculate the rental offer.
• Options – we use this information to calculate the rental offer.
• Rental period – we use this information to calculate the rental offer.
• Transaction ID – if you choose to pay by card, a transaction identifier will be generated and sent to the payment processor.
• Payment amount – the amount related to the contract; if you choose to pay by card, this information will be passed to the payment processor.
• Driving status before delivery – a report that ends when the car is handed over to the customer.
• Delivery status – a report that ends when the car is handed over by the customer.

Under the legal basis of the obligation to comply with the legal requirements related to renting a car:

• Copy of driving license – to verify that you can drive a car according to Romanian law.
• Copy of identity card – to verify that the person presenting the copy of the driving license is also the person who rents the car.

With your consent, we would also like to process the following personal data

• Browsing history – we share this information with our partners described in the cookie policy in order to deliver personalized offers. More information can be found on our cookies page.

4.    What do we do with them

Your personal data are processed within the company BAVARIA MOBILITY SRL located in Romania.

Your personal data is also processed by Creatory and Paperboat Media Serv, companies that act as proxies for BAVARIA MOBILITY SRL offering marketing support services.

Your personal data in electronic documents is also processed by Microsoft Ireland Ltd, a company that provides the Microsoft 365 electronic communications management service.

Your personal data in electronic card transactions are processed by the payment processor EuPlătesc.ro in Romania, which acts as a personal data controller. BAVARIA MOBILITY SRL does not have access to your card information.

Your personal data within the Sign.bmw.rent application are also processed by Intercore Online SRL and H88 which provide maintenance and hosting services for the application, acting as authorized persons for BAVARIA MOBILITY SRL.

5.    As long as we keep your personal data

Your personal data in messages and requests for quotations will be kept for one year from the last communication, if you do not become our customer.

The personal data that are included in the financial-accounting documents or in documents that are annexed to the financial-accounting documents, will be kept for 10 years according to the provisions of art. 38 of Annex 1 to Order no. 2634/2015 on financial-accounting documents, issued by the Ministry of Public Finance and will not be accessed for any purpose other than the legal purpose for which they are archived. After 10 years these data will be destroyed.

Your account data will be kept for three years from the last activity in your account, after which it will be anonymized.

Copies of the driving license and identity card will be stored for six months from the conclusion of the contract to demonstrate the correctness of the car rental operations.

Your online activity data will be kept for the life of the cookies or until you decide to delete cookies.

6.    What are your rights?

If you have reason to believe that any personal data we hold about you is incorrect or incomplete, you have the right to request to see this information, to rectify it or to have it deleted, to request restriction of processing or to object to the processing and you also have the right to data portability. If you wish to submit a complaint regarding the way in which we have processed your personal data, contact the data protection officer at the following e-mail address [email protected]. The Data Protection Officer will contact you to resolve the above issue.

You can also contact the National Authority for the Supervision of Personal Data Processing at www.dataprotection.ro and you can file a complaint with them.
